Growing Your Group: Send a Follow-Up E-mail After an Event

Many times, RESULTS volunteers will attend or host events designed to do outreach for new volunteers. These can include meetings, conferences, and other events. For example, in 2011, RESULTS volunteers participated in the release of To Catch a Dollar in theaters around the country. They promoted the film and hosted tables at local screenings.

Many times these events will yield many prospects — people who are interested in learning more about RESULTS and your local group. After the event, volunteers will want to follow up with these people as soon as possible. Below is a sample e-mail volunteers can use as an initial follow-up with these people.

Dear _________________,

My name is _________________ and I am a volunteer with RESULTS. We met at the ____________________________ (the event). I hope you enjoyed it as much as I did. I am following up with you in response to your request for more information about RESULTS.

RESULTS is a national grassroots nonprofit organization working to end hunger and poverty in the U.S. and around the world. RESULTS empowers everyday people like you and me to become champions for the end of poverty. RESULTS groups around the country meet monthly to learn proven techniques on how to lobby our elected representatives to do the right thing. We call it “creating political will.” Quite literally, RESULTS changes lives — of those who don’t believe they can make a difference and of those living in poverty in the United States and around the world.

In 2011, our domestic campaign priorities include protecting early learning programs like Head Start and child care assistance from reckless budget cuts and supporting legislation that helps low-income families build up savings. On our global side, we working to protect investments in foreign aid that provide microcredit loans to poor borrowers, funds to combat tuberculosis and AIDS, and education for children in developing countries.

You’ll want to tailor the e-mail to your liking. In addition, if the person provided a phone number, you’ll want to follow up this e-mail with a phone call (or simply call as the initial follow-up). Speaking to a person in real time makes the invitation to get involved more personal and increases the chance that they will at least come to your next meeting.
